Trip Proposals & Travel Registration
International Travel with Students: Submit a Proposal
LU Send works with you to develop the educational, cultural, spiritual, and logistical components of your international trips.
As faculty, your involvement is integral in equipping Liberty students to be fully prepared to meet their futures in a global marketplace. LU Send works with you to create cross-cultural opportunities that contribute to your student’s development as lifelong learners and Champions for Christ, wherever their journey takes them.

LU Send will communicate the proposal’s approval status to the faculty/staff lead. Approved proposals will be moved into the trip development process.

Domestic Travel with Students: Choosing the Right Path
Understanding Your Trip Type
Faculty-led domestic trips fall into three categories based on the level of LU Send support and the nature of the trip. Use the guide below to determine which category your trip fits into and what steps to take.
1.Premium LU Send Trip
Full LU Send Support Required
Use this if your trip:
- Is overnight and more than 50 miles from campus
- Includes academic or CSER credit
- Involves cultural immersion or service opportunities
- Requires LU Send support (logistics, budget, absences, etc.)

2. Basic Excused Absence Request
Day Trips or On-Campus Events
Use this if your trip:
- Is a day trip or on-campus event
- Requires excused absences (class, curfew, convo)
No form needed if:
- The trip is under 50 miles
- It’s on a Saturday
- No excused absences are required
LU Send will:
- Obtain Dean & Provost approval
- Send you a student registration link
- Students complete the form and download their excused absence letter
3. Standard Trip Registration
Overnight Travel Without Full LU Send Support
Use this if your trip:
- Is overnight
- Does not require LU Send support for logistics, budget, or credit
- Still involves Liberty students and needs university approval
What You’ll Need:
- All overnight addresses (for Clery Act reporting)
LU Send will handle:
- State approvals (if out-of-state)
- Dean & Provost approvals
After approval:
- You’ll receive a student registration link
- Students complete the form and download their excused absence letter
Registering International Faculty or Staff Travel
All Liberty University faculty and staff traveling internationally for university-related purposes are required to complete the International Travel Registration Form—even if students are not accompanying the trip.
This registration is not a travel approval (which must be obtained through your department), but rather a notification process that allows LU Send to:
- Enroll you in the University’s emergency management system
- Purchase the required international health and travel insurance
- Review your destination through the Global Travel Advisory Committee to ensure there are no travel advisories or insurance exclusions
Deadline
- The form must be submitted at least 4 weeks prior to departure to allow time for insurance processing and documentation.
- Once insurance is purchased using the budget code you provide, your individual insurance card will be uploaded to your registration form under the “Documents” tab before your departure.
Common Examples of Faculty/Staff International Travel:
- Academic conferences
- Research or grant-funded travel (e.g., OSPR)
- International recruitment or scouting
- University-sponsored site visits or training
This form is not for student travel. Separate processes and forms are required for students, including assumption of risk documentation.
