Yes, if you are traveling on an international program. All participants must have LU Send-provided international health and travel insurance. Insurance rates vary by participant type (e.g., students, guests, dependents).

If you need to withdraw from your LU Send program, please contact your LU Send Travel Coordinator right away. They will walk you through the next steps and help you understand any financial or logistical implications.

To officially cancel your participation, you must submit a Request to Withdraw through your VIA application. This includes providing a reason for your withdrawal, which will be reviewed by LU Send administrators. The timing of your withdrawal will determine whether you are eligible for a refund.

Yes. Online students may join LU Send programs if they meet eligibility and program requirements.

Yes, depending on academic eligibility and program availability.

Guest eligibility depends on the specific program. In some cases, guests of students may be permitted to attend if they:

• Pay the full advertised trip cost
• Pass LU Send’s approved background check
• Participate in all itinerary activities and pre-departure meetings
• Accept a higher insurance rate than currently enrolled students

LU Send allows no more than 3 students of the same gender per room. Each student must have their own bed.

Students must notify LU Send by the application deadline to opt out. Otherwise, they will be included in the group airfare booking.

Starting Fall 2024, LU Send no longer arranges flight deviations. Students must book their own flights if deviating, preferably on the same airline as the group.

No, you must complete your background check through LU Send’s approved provider. Even if you have already completed a background check for a licensure program for your degree, you must still complete LU Send’s approved background check. If you are a returning traveler and have completed a background check with LU Send, your background check will remain valid for one academic year.

International Cancellation and Refund Policy

From Trip Acceptance up to 120 Days Before Departure

• LU Send retains a $350 non-refundable deposit.
• You will receive a refund of your account balance minus the $350 deposit.
• Example: If your account balance is $400, your refund will be $50.

119 to 90 Days Before Departure

• LU Send retains the $350 deposit and 50% of your account balance.
• You will receive 50% of your account balance minus the $350 deposit.
• Example: If your account balance is $1,000, your refund will be $325

89 to 66 Days Before Departure

• LU Send retains the $350 deposit and 75% of your account balance.
• You will receive 25% of your account balance minus the $350 deposit.
• Example: If your account balance is $3,000, your refund will be $662.50.

65 Days Before Departure and Closer

• No refund will be issued.

Additional Notes:

• If you have been approved for personalized travel, your airfare is non-refundable. This policy applies to all other trip payments as outlined in your personalized payment plan.
• Once travel insurance has been issued (typically within 30 days of travel), you may be eligible for reimbursement of eligible costs through the insurance provider.
• If you are no longer able to attend, you must notify LU Send via email.
• It is your responsibility to request a refund at the time of cancellation.
• LU Send reserves the right to remove students from a trip if payments are not made by the scheduled deadlines.
• LU Send also reserves the right to deny refunds to students who are dropped due to missed payments.

Domestic Cancellation & Refund Policy

From Trip Acceptance up until 120 days from departure

From 119 days out up until 90 days from departure

• LU Send retains $350 non-refundable deposit and 50% of student’s account balance
• Student receives 50% of their account balance minus the $350 non-refundable deposit.
  • (e.g. If student has $1,000 in their account at 90 days prior to departure, their refund would be $150)

From 89 days out up until 66 days from departure

• LU Send retains $350 non-refundable deposit and 75% of students account balance
• Student receives 25% of their account balance minus the $350 non-refundable deposit.
  • (e.g. If student has $3,000 in their account at 66 days prior to departure, their refund would be $400)

From 65 days out up until departure

• No refund will be issued

Additional Notes

• If you have been approved for personalized travel, your airfare ticket is non-refundable from LU Send. This refund policy applies towards all other trip payments, as reflected in your personalized payment plan.
• Once travel insurance has been issued (usually within 30 days of travel), the traveler may be entitled to a reimbursement of their travel costs for eligible losses/cancellations.
• If the traveler no longer is able to attend, the traveler himself must notify LU Send via email.
• It is the responsibility of the traveler to request a refund at the time of cancellation.
• LU Send reserves the right to drop anyone from their trip if funds have not been paid by the predetermined payment dates.
• LU Send reserves the right to deny refunds to students who have been dropped by LU Send because they have not paid by the predetermined payment dates.
