Supervisor Tutorials
CSER Application Overview
In the CSER application, supervisors play essential roles in organizations and service opportunities. There are three supervisor tiers:
- Lead Organization Supervisor: Oversee everything within the organization, including managing profile information, creating new opportunities, adding new supervisors, and completing tasks on behalf of their team
- Lead Opportunity Supervisor: Oversee opportunity profile information, edit supervisors under the opportunity, approve volunteer requests, and complete tasks on behalf of their team of sub-supervisors
- Sub-supervisor: Oversee their own volunteer’s requests
The CSER application is made up of organizations and opportunities. Organizations are the main entity with a broad mission and within them are specific service opportunities that are created to help fulfill that purpose. This allows an organization to be more specific in their volunteering options for students. Opportunities are individual service events or activities within the organization where students can contribute their time and skills. They come with their own details, titles, descriptions, locations, and volunteer limits.
Claiming Your Supervisor Account
Before you can access the supervisor dashboard, you will need to accept an invitation to become a supervisor.
- Click the invitation link from your email and you will be redirected to the supervisor login page
- Log in using the same email address where you received the invitation
- If you are using a Liberty email address, simply enter your liberty.edu email and password.
- If you are using an external email, enter your email to receive a system generated code that you will use to complete your login. Some external users will not receive a generated code but will be redirected to their email system’s login page to complete the login process
- When logging for the first time, you will need to fill out and submit the new supervisor contract. Verify that the information in the “Your Information” section is accurate and update any details as necessary.
- Review the CSER supervisor policy and enter your name into the electronic signature field to verify that you agree with the statements
- Click “Submit Contract”
Setting Up a New Organization
Please note that only organization lead supervisors can add an organization.
- Log in to the CSER application
- Click the plus icon next to “My Organizations”
- Enter the name and website of your new organization
- Provide a description that clearly outlines what your organization does and your goals for volunteers
- Enter the address of your organization
- Select the type of organization
- If your organization is a 501(c)(3) nonprofit, you will need to provide the organization’s EIN
- Click “Submit Request”
Once submitted, and LU Serve administrator will review the organization information and either approve or decline the request. You will receive an email notification regarding the status update.
Editing Organization Information
Please note that only organization lead supervisors can edit an organization
- Log in to the CSER application
- Select the organization title under “My Organizations” on the left-hand menu
- Click “View Organization Page” to view all your current organization information
- Click “Edit Page Information”
- Make any necessary updates and manage your supervisors
- Scroll to the bottom of the page and click “Update Information” to save your changes
Certain organization fields, such as Organization Name, Description, Website, Socials, and Address, require LU Serve to review and approve. You will receive email notifications with status updates.
Adding and Rolling Over Service Opportunities
Please note that only organization lead supervisors can add or roll over service opportunities
- Log in to the CSER Application.
- Select the Organization on the left-hand sidebar for which you desire to roll over an opportunity.
- Click the “Rollover Opportunities” button.
- Select the term(s) in which you would like to roll over the current service opportunity.
- Submit the form to complete the rollover process.
Adding and Removing Supervisors
Please note that only organization lead supervisors can add and remove supervisors
- Log in to the CSER Application.
- Select the Organization on the left-hand sidebar for which you desire to remove a supervisor.
- Click “View Organization Page”.
- Click “Edit Page Information”.
- Scroll down to the list of supervisors and click “Remove” for any you wish to remove.
- Click “Update Information” to save the changes.
Completing Evaluations
Please note that supervisor evaluations can only be submitted once a student has completed all required hours and their CSER evaluation.
- Log in to the CSER application
- Navigate to the organizations’ opportunity for which the volunteer submitted their evaluation
- Select the “Active Volunteers” tab
- Locate the volunteer and click “Submit Evaluation” to the right of their name
- Verify that the hours logged are accurate
- Rate the student’s performance based on the criteria provided
- Rate the likelihood of future recommendations for the student
- Indicate whether there are any areas of improvement for the student and provide any additional comments
- Assign the student a grade and click “Submit” to finalize the evaluation
Approving Past Term Registrations
A past term registration is used when a student has finished a CSER in a previous term but did not register or submit it at that time.
- Log in to the CSER application
- If a past term registration is awaiting approval, a number notification icon appears next to “Past Term Registration” in the left navigation menu
- Click “Past Term Registration” to open the list of requests
- Select “Review Request” to the right of the volunteer’s name to begin approving new submissions
- Review the submitted service description and service log
- If all information is correct, select “Continue” to proceed with the approval
- If any information is missing, select “Deny Past Term Registration”
- Rate the student’s performance based on the criteria provided
- Rate the likelihood of future recommendations for the student
- Indicate whether there are any areas of improvement for the student and provide any additional comments
- Assign the student a grade and click “Submit” to finalize the evaluation
- Submissions appear under the “Pending Admin Review Requests” tab. After admin review, it will move to either the “Approved” or “Denied” tabs.
Creating an Announcement
To post an announcement, you must be either an organization lead or an opportunity lead supervisor.
- Log in to the CSER application
- Choose the opportunity for which you would like to post a message
- Navigate to the “Announcements” tab
- Select “New Announcement”
- Select the start and end date
- Enter a title (this is for internal use only and is not visible to volunteer)
- Enter your message in the announcement text box
- Click “Submit”
- Click the “Start” button to publish the announcement.
- It will automatically deactivate once the end date is reached. To deactivate before the end date, press the “Stop” button
- To review the announcement or make changes, select “View/Edit.”
- If you make any edits, be sure to click “Update” to save changes, or “Cancel” to remove the changes
