Budget management is an ongoing practice. Managers should be viewing their budgets on a regular basis to ensure accuracy and keep fund availability on track.
Encumbrance Query
Tracking encumbrances and Purchase Orders is key in good budget management. SSB Finance has a featured query for viewing PO’s. From the SSB Finance ‘My Finance’ screen:
- Choose the ‘My Finance Query’ option
- Select the Blue ‘My Query’ button
- From the ‘Select Query Type’ dropdown menu, select ‘Encumbrance Query’
- Set your parameters – typically, querying by Organization code alone is best


Managers working with Procurement and Payment Services need to assess whether documents can be closed and funds released back to the budget.
